Awards – Terms of Use

These terms govern the nomination and participation process for the Excellence in Workplace Wellbeing Awards 2025 (“the Awards”). Please read them carefully. By submitting a nomination, you agree to be legally bound by these rules.
1. Organiser Details
“The Organiser,” “we,” “us,” and “our” refers to TheWellCrowd Ltd, with its registered office at 71-75 Shelton Street, Covent Garden, London, England, WC2H 9JQ. The Organiser is responsible for managing all aspects of the Awards programme.
2. Eligibility Criteria
2.1 General Entry Criteria
Nominations are open to:
- UK-based individuals and businesses delivering workplace wellbeing services.
- Entrants must:
- Be aged 18 or over.
- Be residents of the United Kingdom.
- Operate a registered and actively trading UK-based business (for business categories).
- Have a UK-based trading address.
- Be able to demonstrate service delivery within the UK.
Multiple entries for the same person or organisation by the same nominator will not improve their chances of selection but will be judged on merit.
2.2 Individual Awards
For awards recognising personal impact (e.g. Rising Star for Individuals):
- Nominees must be UK residents.
- In the opinion of the Organiser or judging panel , they must have made a measurable contribution to health, wellbeing, or workplace wellness in the UK.
2.3 Disqualification
The Organiser reserves the right to disqualify any nominee or entry that:
- Is incomplete, misleading, or inaccurate.
- Entry fees aren’t paid within the 7-day window
- Does not meet the eligibility requirements.
- The Organiser considers in its sole discretion risks bringing the Awards, the Organiser, or any affiliated party into disrepute.
- Is associated with an individual or business which the Organiser in its sole discretion considers has engaged in unethical, illegal, or discriminatory behaviour.
3. Nomination Process
3.1 Submission Window
Nominations will be accepted from 09:00 on Monday 9 October 2025 until 23:59 on Friday 19 December 2025 GMT. Submissions made outside this period are ineligible, regardless of any system receipt.
3.2 Entry Instructions
To submit an entry you must:
- Email your complete entry, clearly indicating the category you’re entering and any supporting materials to awards@thewellcrowd.com
- Provide accurate contact details.
- Pay the awards entry fees within 7 days of submitting your entry
4. Entry Content and Conduct
4.1 Entries must:
- Be written in English, and may be rejected if written in any other language.
- Be original and not copied from another source without appropriate rights or permissions.
- Not contain offensive, defamatory, or discriminatory material.
- Not contain any confidential or commercially sensitive information
4.2 By submitting an entry, you confirm that:
- You are the nominee or, if you are nominating someone else, you have their authority or consent to submit their details.
- You grant the Organiser a non-exclusive, royalty-free perpetual, worldwide licence to use any content provided for the purposes of administering and promoting the Awards.
5. Judging and Selection
5.1 Shortlisting
All eligible nominations will be reviewed by the judging panel. Finalists will be notified by Friday 30 January 2026
5.2 Final Judging
Finalists may be required to participate in further evaluation, including the submission of additional evidence. Judges’ decisions are final and not subject to appeal or correspondence.
5.3 Awards Categories
A full list of categories and judging criteria is available on the The Well Crowd platform. One winner will be selected in each category. At the judges’ sole discretion, a Highly Commended recognition may be awarded in award categories. This is not guaranteed and will only be awarded where the judging panel considers it is merited. Not all categories will receive a Highly Commended designation.
6. Awards Ceremony and Prizes
6.1 Winners will be announced on The Well Crowd website on Thursday 19 February 2026.
6.2 Each winner will receive a digital certificate and winners’ logos and icons to use on their owned channels, platforms and in marketing. No cash alternatives or substitutions will be provided in any circumstances and awards are not transferable to any person other than the winner.
7. Publicity and Promotion
7.1 By entering the Awards, you grant the Organiser and its partners the right to use:
- Your name, job title, company name, business description, and submitted content for promotional and reporting purposes.
7.2 The Organiser may publish details of shortlisted and winning entries on its website and in press materials. You may opt out of specific promotional activities by contacting awards@thewellcrowd.com
8. Data Protection
8.1 All personal data provided will be processed in accordance with UK data protection laws and the Organiser’s privacy policy, available at https://thewellcrowd.com/privacy-policy/
8.2 By submitting a nomination, you agree that your personal data may be:
- Processed by the Organiser and any contracted third-party agents for the purposes of administering the Awards.
- Shared with the judging panel and category sponsors
8.3 Data relating to unsuccessful nominations will be retained only as long as necessary to administer the Awards and will then be deleted. Winners’ details may be retained for up to six (6) years.
9. Liability and Disclaimer
9.1 The Organiser accepts no responsibility for:
- Lost, late, incomplete, or corrupted entries.
- Technical failures or system malfunctions during the nomination process.
- Any costs, damages, or losses incurred by nominees in connection with participation in the Awards.
9.2 The Organiser reserves the right to amend, withdraw, reschedule or cancel the Awards at any time.
9.3 The Awards are not affiliated with or endorsed by any social media platform.
10. General
10.1 By submitting a nomination, you:
- Confirm that all information submitted is accurate and truthful to the best of your knowledge, and is original and not copied from another source without appropriate rights or permissions.
- Acknowledge that false, misleading, or defamatory statements may lead to disqualification.
10.2 The Organiser reserves the right to:
- Modify these rules at any time.
- Verify eligibility and request additional information at any stage.
- Disqualify any nomination which it considers in its sole discretion is in breach of these rules or the spirit of the Awards.
10.3 Decisions of the Organiser and the judging panel in administering the Awards including determining eligibility, determining the shortlist and the winners, are final and will not be subject to appeal. No correspondence will be entered into.
10.3 These rules are governed by the laws of England. Any disputes will be subject to the exclusive jurisdiction of the English courts.
